Administrative Assistant to the RSG Location New York, NY : Org. Setting and Reporting The United Nations Secretary-General is responsible for the investment of the assets of the United Nations Joint Staff Pension Fund (UNJSPF). The Secretary-General has delegated this responsibility to the Representative of the Secretary-General for the investment of the assets of the UNJSPF (RSG). The RSG heads the Office of Investment Management (OIM), which manages a $90+ billion multi-asset class, global investment portfolio, about 85% of which is actively managed in-house. Asset classes under management comprise global equities, fixed income, foreign exchange, private equity, real estate, infrastructure, timber, and commodities. For more information, please visit OIM's website at This position is in the Office of the Representative of the Secretary General (RSG) of the Office of Investment Management (OIM) of the United Nations Joint Staff Pension Fund (UNJSPF). The incumbent will report to the RSG. Responsibilities Within delegated authority, the Administrative Assistant will be responsible for the following duties: • Provides substantive and administrative support in managing priorities and workflow of the Office of the RSG. •Serves as first point of contact and liaison with senior officials internally and externally. •Screens and prioritizes all incoming correspondence; compiles relevant background documents and references; identifies issues requiring the RSG's attention and refers others to relevant officers for appropriate action; monitors and follows-up on actions to be taken. • Prepares, processes, and classifies confidential information. • Provides support to the RSG in preparing drafts to respond to correspondence from high level officials, committees, or governing bodies. •Performs administrative duties, as required (e.g., operational travel programme, monitoring accounts and payment to vendors and individual contractors for services; physical space planning; identification of office technology needs and maintenance of equipment, software and systems). •Organizes official events (receptions, meetings, seminars, conferences etc.), handling all necessary arrangements (e.g. room reservations, guest/participant lists, invitations, catering, seating arrangements, background documentation, special equipment, translation etc.). •Assists the RSG with the collection and analysis of data as well as preparation of presentations, reports, articles for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures. • Collects and analyzes data to identify trends or patterns and provide insights through graphs, charts, tables and reports using data visualization methods to enable data-driven planning, decision-making, presentation and reporting. • Performs other duties as required, including support to the investment teams and change agent network. Work Experience A minimum of seven years of experience in administrative services, finance, accounting, audit, human resources or related area is required. Experience providing executive support to senior officials is required. Proficiency in Microsoft Office Suite (PowerPoint, Word, Excel) is required. Experience within a large pension fund or financial institution is desirable. Experience working with ERP systems is desirable. Experience in preparing high-quality presentations and background notes for senior executives is desirable. The ability to review and understand data and to synthesize information into clear and concise reports is desirable. Languages English is the working languages of the United Nations Secretariat. For this position, fluency in English is required. Knowledge of another UN language is desirable.
