At Antonina’s Gluten-Free Bakery, we know how important it is to provide our customers with specialty bakery options for those with food sensitivities, as well as to customers who simply enjoy delicious baked goods. We bake Antonina's gourmet gluten-free decorated cupcakes, single-layer cakes, muffins, brownies, and more in our own dedicated gluten-free, tree nut-free, and peanut-free facility and we will always provide a product consumers can trust. Made with real butter and non-GMO ingredients, our baked products are both flavorful and beautiful. Our mission began within our own family and now we are here for you and yours and we are striving to make our delicious products available to everyone at every retailer across the country and beyond!

Overview

We are seeking a highly organized and proactive Executive Assistant to support our CEO in a fast-paced environment. This role requires a detail-oriented individual who can manage multiple tasks efficiently while maintaining professionalism and confidentiality. The ideal candidate will possess strong communication skills and be adept at using various office software to streamline operations.

Responsibilities

  • Assist the CEO of the company with variety of administrative tasks such as: manage contracts, calendar of appointments, help with audits, arrange traveling if needed, compose and prepare correspondence that is sometimes confidential, create daily excel charts, etc.;
  • Organize and maintain the CEO’s calendar using Outlook Calendar, ensuring efficient time management.
  • Prepare and proofread documents, reports, and presentations with a keen eye for detail.
  • Assist in event planning and coordination for company meetings, conferences, and special events.
  • Manage front desk operations, including greeting visitors and handling incoming calls with excellent phone etiquette.
  • Maintain office management tasks to ensure a smooth workflow, including inventory management of office supplies.
  • Utilize Outlook for document creation, collaboration, and communication with team members.
  • Assume receptionist duties, greet public and refer them to the appropriate staff members, answer phone, route calls, and take messages.
  • Handle confidential information with discretion while ensuring compliance with company policies.
  • Other duties as assigned.

Skills

  • Bachelor's Degree or Equivalent experience
  • A minimum of 3-5 years’ experience in administrative/statistical role.
  • Proficiency in proofreading to ensure accuracy in all communications and documents.
  • Strong knowledge of office management practices and procedures.
  • Strong mathematical and statistical knowledge.
  • Advanced proficiency in Excel and analytics.
  • Capability to multitask in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Proficient in the use of the Microsoft Office Suite of Products: Excel, PowerPoint, Word, Access & Outlook.
  • Strong phone etiquette to provide exceptional service to clients and visitors.

WORK ENVIRONMENT:

  • This job operates in both a professional office environment as well as a manufacturing plant with varying temperatures. This role routinely involves standard office equipment such as computers, phones, photocopiers, filing cabinets, and fax machines.
  • While performing the essential functions of this position, the employee is regularly required to talk and hear. This position requires standing, walking, bending, kneeling, and climbing in environments with varied temperatures. This position requires frequent pulling, carrying, and lifting up to 50 lbs.
  • This role will support remote team members throughout the US, as well as locations in Sumner and Puyallup, WA and Manteca, CA.
